Our client, a growing and family owned Ballarat business is seeking a customer focused Receptionist to join their team on a full time permanent basis.

This newly created position will become first point of contact for clients, visitors, and employees, providing exceptional customer service while managing administrative tasks to ensure the smooth operation of the office. The Receptionist will play a key role in maintaining the professional image of the company and supporting internal departments as needed.

Being an effective communicator, be it in the form of face to face, via phone or email/web will be essential to achieving success in this role along with having the ability to form strong working relationships based on trust and work ethic.

Day to day responsibilities will include;

  • Greet and welcome visitors and clients in a warm, friendly, and professional manner.
  • Answer and direct phone calls, ensuring proper handling of inquiries and messages.
  • Respond to emails and communicate effectively with clients, visitors, and staff and direct correspondence accordingly.
  • Support online sales department
  • Assist in organising office events and functions.
  • Support various departments with day-to-day administrative tasks.
  • Assist with onboarding new employees by preparing necessary documentation and coordinating orientation.
  • Monitor the functionality of office equipment (e.g., printers, phones) and report issues to the appropriate departments.
  • Assist with office security, ensuring that entry protocols are followed and building access is controlled.

  • Excellent verbal and written communication skills.
  • Strong organisational skills with the ability to multitask and manage time efficiently.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and general office equipment.
  • Professional attitude with a focus on providing excellent customer service.
  • Ability to work independently and as part of a team.
  • Detail-oriented, with strong problem-solving skills.
  • Discretion in handling confidential and sensitive information.
  • Current drivers licence.

This position will be open for commencement in early to mid January 2025 basic on the succesful applicants' availability.
